This role plans, organizes, and directs the day-to-day operations of the Academic Enterprise Enrollment Services team at the ASU California Center location in Los Angeles. It handles the responsibilities of hiring, training, supervision and allocation of work assignments for staff and plans for and ensures the efficient delivery of student support services related to registration, financial aid, veterans benefits, and international student services. This position works collaboratively with key enrollment departments, including: Financial Aid and Scholarship Services, Admission Services, University Registrar Services, Pat Tillman Veterans Center, and International Students and Scholars Center. This is a very socially focused environment, requiring a "how can I help the team?" attitude with lots of attention spent on building and maintaining relationships, along with the opportunity to build services from the ground up. The right person for this position is a champion of higher education who would enjoy supporting students, parents, staff and other ASU departments; and has experience in higher education and supervising teams.

Essential Duties

  • Supervises staff of Integrated Services at the ASU California Center location, which includes selection, training, performance, evaluation, discipline, schedule development, and work prioritization of all staff.
  • Directs and assists team which provides general information and conveys university policies and procedures to students, staff, faculty, and the general public in person, by telephone, and by email; and completes applicable processing for student support services related to registrar, financial aid, veterans benefits, and international students focus areas.
  • Coordinates office activities, focusing on providing the highest level of customer service to the university and its constituents.
  • Serves as or assigns responsibility to team member to act as focal point for military affiliated student support, including primary function of serving as location's VA School Certifying Official
  • Serves as or assigns responsibility to team members to act as location's Designated School Official (DSO) for international students which requires DSO to be U.S citizen or lawful permanent resident, per federal requirements.
  • Responds verbally or in writing to non-routine inquiries, complaints, or problems and makes necessary adjustments.
  • Develops, maintains, interprets, and implements departmental policies, procedures, and methods.
  • Coordinates and facilitates ongoing training opportunities for staff.
  • Prepares or coordinates preparation of financial and administrative reports; analyzes and interprets statistics, financial data, and management planning data for predicting resource needs and developing long range plans.
  • Initiates and coordinates complex projects with other enrollment service areas and with other departments on the various ASU campuses, as needed.
  • Oversees and participates in planning, developing and administering department staffing and operations budgets as needed.
  • Conducts and assists with the development of long- and short-range goals, along with development of objectives and activities based on department and enrollment goals.
  • Represents the department and serves on various department and university committees.
  • Serves as representative of the University at state, regional and national organizations, boards, councils, and committees, as assigned.
  • Acts as liaison with the community, students, faculty, and staff in facilitating university programs.
  • Assists with overseeing the design, development, coordination, and evaluation of departmental programs and projects.
  • Resolves problems and issues affecting the department and oversees measures to improve the effectiveness and efficiency of the department.
  • Participates in division-wide activities that establish engagement connections between employees and their work.
  • Assists AEE staff at prospective and current student events, visits and activities.
  • Provides enrollment support and host or participate in events, activities or meetings in ASU California Center Broadway and ASU California Center Grand.
  • Promotes division core values.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND six (6) years of related administrative experience, which includes three (3) years of supervisory experience; OR, Ten (10) years of related administrative experience, which includes three (3) years of supervisory experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience working in higher education, especially with registration/records, financial aid, veterans benefits certification, and/or international student services.
  • Demonstrated knowledge of principles, practices and procedures utilized in university registrar offices for developing, updating and maintaining students' registration and academic records.
  • Demonstrated knowledge of government, donor and/or institutional rules, regulations, guidelines and procedures for awarding of financial aid.
  • Demonstrated knowledge of principles, practices and procedures of maintaining VA compliance in enrollment certification.
  • Demonstrated knowledge of the principles and practices of immigration regulations requirements and resources for international students in higher education, in order to be the location's Designated School Official (DSO).
  • Must be a U.S. citizen or lawful permanent resident for certification as DSO, per federal requirements.
  • Demonstrated knowledge of Family Educational Rights and Privacy (FERPA) requirements.
  • Demonstrated knowledge of university-level policies and procedures, with ASU knowledge preferred.
  • Demonstrated knowledge of supervisory practices and procedures.
  • Experience making complex or complicated decisions based on policies, procedures and objective evidence.
  • Evidence of effective communication skills.
  • Experience with providing and promoting high quality customer service. Experience fostering a positive team environment.
  • Experience in working with diverse populations in higher education.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
  • Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
  • Ability to clearly communicate to perform essential functions.
