The Executive Administrative Assistant to the Vice President & Controller is essential to the day-to-day success of our global organization. In this role you will have the ability to work cross functionally at all levels as you connect with others within the company. This is a fast-paced position that requires you to be flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. You should be able to use independent judgment on assignments that are often sensitive and highly confidential in nature. We're looking for someone that can work independently with little or no supervision and is exceptionally well organized, flexible and enjoys challenges. Accuracy and attention to detail are extremely important in this role as it is responsible for maintaining access to extremely sensitive information that pertains directly to Controls & Compliance/Information Security.

What You’ll Do for Us
Responsible for scheduling and managing the executive calendars including prioritizing and resolving related conflicts, proactively scheduling important meetings with internal and external individuals, and maintaining an organized office.
Organizes and coordinates domestic and international travel and related requirements to include travel authorizations, flight tickets, hotel bookings, visas, airport transfers, expense reports; ensures that all travel arrangements are compliant with the Company’s Travel Policy.
Provides support in arranging meetings including coordinating the agenda, collaboration of presentations/information, handling logistics, such as conference registrations, room reservations (internal and external), and local travel. Also, provides hospitality for Senior Management or guests of the department which may include planning, arranging, and confirming all local logistics support.
Supports new Company initiatives requiring setting up new routines, global meetings and events cross-functionally and with the global system (i.e., with internal and external stakeholders).
Maintain various department database systems and distribution lists.
Support department-wide activities such as all-hands meetings, department newsletters, new job postings and birthday/service anniversary celebrations, including coordinating, drafting and posting department-wide communications using Powerpoint, MS Teams, and email.
Extensive use of Workday (onboarding, offboarding and maintenance/changes) to coordinate KO email and system access for approximately 200 associates from external partners such as Ernst & Young, Costa Coffee, CCBA and Innocent.
Coordinate with departmental leadership to grant/maintain/revoke associated SAP access requests for associates from external partners. Conduct quarterly reviews of access provided to associates from external partners to ensure accuracy and that offboarding in Workday and revocation of any associated SAP access are conducted in a timely manner.
Initiate, track and maintain departmental purchase orders in a timely and proactive fashion. Ensure vendor invoices are paid accurately and on time.
Interface with vendors, agencies and maintain internal and external relationships.
Coordinate department and cross-department team events.
Performs general clerical duties including but not limited to scanning, copying, faxing, filing, and data entry; collects and opensmail; completes various forms, including purchase requisitions, shipping requests, travel expense reports, requests for payment, consultancy agreements, maintaining emergency contact list for the Controllers Group.
Contributes to the excellent reputation of The Coca-Cola Company through professional, friendly and respectful interactions internally and externally. Performs other duties as required and/or assigned.

Qualifications & Requirements
High School and some college preferred in Business, Communications, or similar field is ideal.
2 years of experience in a high-level support role preferred.
Must possess proven ability to be a resourceful problem-solver.
Experience in coordinating projects.
Intermediate knowledge of MS Office, including Word, Excel, PowerPoint, Teams and Outlook.
Strong attention to detail, interpersonal, and communication skills are needed.
Excellent time management and organizational skills to meet deadlines are needed.
Experience scheduling travel arrangements and schedule for management.
Support experience in a professional services, sales, or marketing environment.
Experience successfully creating and/or modifying processes.
Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important
Ability to prioritize effectively, interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, comfortable with a certain amount of ambiguity and changes to calendars/schedules. Being proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.
