Position Summary:

The Customer Service Representative also known as "Clinical Operations Case Coordinator" or "COCC" uses customer service and task management skills to provide support for the Genetic Analysts and Genetic Counselors on the Clinical Operations Team. Clinical Operations Case Coordinators are the first line of contact with patients, providers, and clients engaging with InformedDNA’s Clinical Operations. The Clinical Operations Team offers genetic services to patients and healthcare stakeholders who seek genetic expertise. Our team provides this specialized expertise via multiple modalities, including telephone based genetic counseling consultations, utilization management, policy writing and advising, general consulting, laboratory stewardship, and clinical algorithm and technological solutions. We employ evidence-based best practice standards to support the appropriate and responsible use of genetic testing within the healthcare system as a whole.

Essential Functions

  • Ensure high-quality customer service for our patients, clients, and providers through timely, knowledgeable, and courteous interactions (including phone, fax,and/or email communication)
  • Provide education to patients to inform about IDNA services and the genetic counseling process
  • Answer questions from clients regarding case status, process, or other customer service matters
  • Register new referrals
  • Schedule patient appointments
  • Complete necessary documentation and follow-up correspondences for cases
  • Meet team SLA requirements to provide timely, efficient, and high quality support for clinical operations
  • Initiate outreach to health care providers and patients to gather additional information, as directed by genetic analysts, genetic counselors, and senior care coordinators, and billing specialists
  • Upload cases and/or case documents into proprietary case databases and medical records
  • Assist with basic technical support for InformedDNA’s Patient Portal
  • Other duties as assigned
Additional job functions:
  • Attendance in team meetings and required trainings
  • Respond to all deadlines and client issues in a timely manner
  • Collaborate with team members on tasks and/or non-clinical case duties
  • Develop and meet individual, team, and company goals and key performance indicators (KPIs) with support of supervisor
  • Identify processes and procedures that can be improved and report recommended solutions to your manager.

Requirements:

About You

Your Education and Experience:

  • High school diploma or equivalent required
  • Bachelor’s degree or college coursework desired
  • Demonstrated customer service, preferably in a healthcare setting, required.
  • Additional experience in working with teams via tele-communications preferred

  • Excellent customer service skills, with focus on providing warm, and friendly client experience
  • Excellent communication skills (oral and written)
  • Critical thinking, organizational and prioritization skills, with strong business skills
  • Attention to detail, self-directed and ability to work with limited supervision
  • Ability to use Google apps and service center technology
  • Experience complying with state and federal regulations
  • Ability to handle multiple, unrelated tasks in an environment focused on service levels
  • Ability to adapt to changing situations and workflow
  • Ability to maintain a balance between life and work
