Summer and Break Housing Manager

University Student Housing (USH) at MSU, offers a unique, on-campus living experience for students and their families as they focus on their academic success. Managing 18 active on-campus communities (Residence Halls and Apartments) which are the home of up to 6,500 residents. The departmental mission includes provision of reasonably priced living environments which are clean, attractive, well-maintained, comfortable, and include safety features; ensures the orderly and effective administration of the program through efficient management; and provides a learning environment and related co-curricular programs which promote maturity and academic success.
Duties and Responsibilities Reporting to the Associate Director – University Student Housing, the Summer and Break Housing Manager is responsible for actively managing the Summer Housing and Break Housing programs’ administrative processes and associated staff.
  • Steers and drives the direction of preparations, execution, and wrap-up/transitions for both programs
  • Manages the administrative processes and occupancy for both programs (sample of the wide range of duties: room assignments to verifying room charges to coordinating hall contract releases to creating and submitting facility work orders etc.)
  • Liaison with Conference and Event Services in order to properly prepare and then execute summer housing for conferencing guests
  • Ensures the residence hall front desk environment is a welcoming yet professional space that provides special services to guests/residents
  • Oversees all summer billing and related accounting; troubleshoots discrepancies as needed
  • Forecasts staffing needs during summer and breaks in order to maintain front desk service for guests and students
  • Supervises, trains, schedules and oversees related staff (5-6 student direct reports, up to 25 student desk personnel in the academic year breaks, and up to 75 desk personnel during the summer)
  • Coordinates and facilitates transitional periods around occupancy
  • Ensures a safe and secure environment for guests/residents
  • Manages the transitional summer periods along with the daily conference turnover
  • Cross-trained to provide support as needed during the academic year at a residence hall front desk
  • Verifies housing application eligibility for residence halls and apartments
  • And actively participates as part of the team while performing other duties in support of the department’s mission

Required Qualifications – Experience, Education, Knowledge & Skills
  • Progressively responsible administrative experience in a busy office setting successfully managing multiple priorities or an equivalent combination of relevant education and experience.
  • Proficient experience using computers and various software packages.
  • Leadership/Supervisory experience coordinating and directing the work of others.
  • Customer service experience dealing effectively and diplomatically with a variety of people that may include handling difficult customer service situations.

Preferred Qualifications – Experience, Education, Knowledge & Skills
  • Bachelor’s Degree
  • Experience working in a database environment.
  • Demonstrated skills managing through stressful situations.

  • Occasionally assists with trouble shooting as needed outside of regular shift/business hours.
  • 40hours/week with the work schedule shifting depending on academic and conferencing schedule.
