Summary of Job Duties: This position is located in Searcy, AR

The Program Coordinator performs a variety of functions related to establishing and maintaining eligibility for patients enrolled in the Kids First program including but not limited to: patient registration, appointment scheduling, gathering outside records, communicating with referral sources and the clinical team. The Program Coordinator shall be able to assume the functions of every member of the front desk team, to be knowledgeable of insurance processes such as verification of eligibility and benefits and able to collect documents for the medical record as necessary. The Program Coordinator performs developmental assessments, coordinates the development of the initial treatment plan, and assumes the role of the Early Childhood Developmental Specialist if needed. The Program Coordinator interprets agency/institution administrative directives, policies and procedures to ensure consistent application. Provides a high level of customer service. Some travel/or telecommuting may be required.

  • Bachelor's Degree in Early Childhood, Child Development, or related field plus 2 years administrative or program coordination experience. State accreditation in Early Childhood Special Education OR current Child Development Associate Certificate OR a current Birth to pre-K credential may be substituted in lieu of the documented 12 hours of coursework in Early Childhood, Child Development, Special Education, Elementary Education, or Child and Family Studies. Advanced computer skills. Ability to provide excellent customer service. Strong written and oral communication skills.
Additional Information:
  • Maintaining a friendly and approachable demeanor to patients and families throughout the duration of the intake and enrollment process; assisting with questions and concerns and setting expectations for clinic visits during intake. All functions related to preparing and scheduling intake appointments, such as verifying demographic information, collecting outside records, taking patient photographs, obtaining required signatures for evaluation and treatment; scheduling screening appointments; communicating and obtaining necessary referrals from primary care physicians, notifying clinicians of screening results and when patient registration is complete; canceling, scheduling, and rescheduling patients.
  • Keeping up to date records on all individuals in the intake process. Scheduling follow up evaluations or outside referrals as indicated by the clinical team.
  • Maintains quarterly contact with referral sources and participates in public relations events.
  • Administers standardized and criterion referenced developmental assessment tools, scores, and interprets results to determine program eligibility.
  • Prepares comprehensive evaluation report, admission summary, and develops initial treatment plan with treatment team and family.
  • Conducts orientation with new enrollees, completing enrollment materials and obtaining consents for enrollment as needed. Provides results of evaluation to referral sources, families, and other stakeholders as indicated. Provides a warm-hand off to treating staff and provides ongoing support as needed.
  • Other duties as assigned. May assume the role of Early Childhood Developmental Specialist if needed.
