Position Summary: This person will be responsible for the successful coordination of travel for senior executives. Coordinates with travel agencies and suppliers to schedule flights, rental cars and hotel accommodations. Communicates travel information to senior executives and works out any scheduling problems. May process reimbursements for meals and other travel expenses. Changes to individual responsibilities may occur due to business needs and other related duties may be assigned. Responsibilities:

  • Using internal reservation resources and liaising with other internal VIP reservation staff, executive Administrative Partners, and with executives directly, creates domestic & international travel itineraries (air, car, hotel, rail, and limos) and arranges ancillary services for senior executives.
  • Works with preferred suppliers and internal agents to exploit cross-border reservation differences to clear special inventory and to drive service enhancements and cost savings.
  • Interfaces with senior management to identify and resolve travel issues and to enhance the experience, frequently outside of normal office hours
  • Monitors and communicates international travel information such as visa and passport requirements, security alerts, and other destination-specific information that will assist the senior executive in achieving their trip mission.
  • Develops and uses proficiency at understanding travel distribution systems as they relate to Illumina’s senior executives’ travel
  • Liaises and teams with executive Administrative Partners, marketing, and other related roles in the organization to integrate executive travelers travel into related itineraries (e.g. conference attendance, dinners, etc)
  • Collaborates with travel suppliers and travel agencies to enhance the travel experience for the executive and to troubleshoot any issues that arise.
  • Researches and resolves customer inquiries (complaints, refunded tickets, accounting issues, FOP questions, lost baggage, fare discrepancies, vendor issues, hotel no-shows, hotel walking, bumping from flights, airline mileage, upgrade problems, and profile updates).
  • Works proactively with executive support teams to build a travel ‘culture’ of customized service, collaborative issue resolution, and safe travel
  • Performs other necessary, reasonable duties as needed, including a need for out-of-office calls
Requirements:
  • Understanding of airline & hotel inventory management and distribution systems
  • Knowledge of international security and vendors (airline, rail, limousine, and hotels).
  • Familiarity with geographical and cultural differences from country to country.
  • Knowledge of cultural and legal compliance of country entry/exit requirements.
  • Ability to interface with senior staff
  • Strong customer service ethic
  • Ability to overcome workplace personal differences to with at all levels on a common objective
  • Detail oriented—ability to think experientially as well as transactionally
  • Collaborative “team” approach to solving problems or reacting to uncontrollable changes (weather, political upheaval etc)
  • Ability to think creatively and independently to resolve issues “on the fly”
  • Ability to work with minimal supervision
  • Ability to know or very quickly adapt to the Illumina culture
  • Experience working directly with high-level customers in a ‘high-touch’ environment
  • Experience working with travel itineraries for senior executives
Experience/Education:
  • Bachelor’s degree or equivalent combination of education and experience
  • Typically requires a minimum of 6+ years of related experience or in a travel-related organization with direct customer interface
The estimated base hourly range for the Senior Travel Coordinator role based in the United States of America is: $24.75 - $37.16. Should the level or location of the role change during the hiring process, the applicable base pay range may be updated accordingly. Compensation decisions are dependent on several factors including, but not limited to, an individual’s qualifications, location where the role is to be performed, internal equity, and alignment with market data. Additionally, all employees are eligible for one of our variable cash programs (bonus or commission) and eligible roles may receive equity as part of the compensation package.
